Office Manager

An excellent opportunity has arisen for a highly motivated, organised self-starter to join a financial services company in the DIFC. Suitable for someone with several years’ office management and secretarial experience.

The role will comprise three key functions:

1. Office Management

• Manage the upkeep of the office and enforce a tidy working environment.
• Support the team with day-to-day tasks when necessary.
• Maintain relationships with suppliers and source best prices.

2. Secretarial Duties

• Manage and monitor all DIFC regulatory requirements.
• Provide high-level secretarial and administrative support to the Dubai team on a day-to-day basis, including arranging meetings and appointments etc.
• Maintain a high level of international travel organisation – arranging flights, accommodation, visa applications, car arrangements, conferences and conference calls.
• Maintain discretion while handling and processing strictly confidential information

3. Corporate Support

• Manage online banking and petty cash transactions.
• Liaise with outsourced service providers (accounting, HR and legal) and assist with issues.
• Maintain and update the online Corporate Intranet for Resolute Dubai.
• Keep records and documentation up to date in preparation for KYC requests.
• Coordinate the on-boarding of new Dubai employees.
• Assist in the local recruitment process: arrange interviews, write rejection / offer letters
• Process staff expenses.
• Group HR’s local contact for people issues.

Requirements:

Knowledge:

• Proven experience as an Office manager
• Knowledge of office administrator responsibilities, systems and procedures
• Proficiency in MS Office (MS Excel and MS Outlook, MS PowerPoint in particular)
• Excellent time management skills and ability to multi-task and prioritize work
• Excellent written and verbal communication skills
• An understanding of basic bookkeeping
